Import Supervisor Ireland
Location: Swords, Co Dublin
Hours: Full time, 37.5 hours per week, 9:00 – 17:30 Monday to Friday
About the position:
Hellmann Worldwide Logistics Forwarding Limited are excited to announce that they are expanding their European network into Ireland. As part of this new and exciting journey they will be operating from a new Freight forwarding office based in Dublin. The successful candidate will be one of the new hires and have the opportunity to join the team and be part of a successful Global forwarding business.
We are looking for a highly experienced Import supervisor who will be responsible for the arranging and receiving of all import consignments on behalf of both internal and external customers in the most efficient and cost effective manner whilst achieving the required service levels. Dealing with all documentation and liaising with Hellmann Partners and internal customers whilst providing excellent customer service. The Import supervisor is also responsible for communicating with all internal functions.
Key Tasks and Responsibilities will include but not limited to:
- Ensure accurate data is entered into Hellogic
- Liaise with customers, other offices locally and overseas, agents, shipping lines and haulers
- Take all incoming calls from all internal/external customers
- Respond to all internal/external customer enquiries promptly and professionally
- Completes all required import paperwork including customs work, and all other essential import documentation
- Review all customer booking and clearance instructions ensuring these are understood and followed
- Claiming of all shipments through use of external software packages Destin8 and CNS
- Process customs clearances for airfreight and ocean shipments.
- Provide all relevant service providers with the required information for successful service delivery.
- Ensure full understanding and strict compliance to customs processes and procedures
- Ensure all delivered instructions are clear, concise and are provided in the correct format
- Communicate with all operations to ensure the accuracy of consignment delivery
- Manage all consignments by obtaining the latest status information and monitor accordingly
- In the event of a service failure identify the root cause and take appropriate action to address ensuring the customer/branch are kept fully informed
- Accurate and timely management of all mandatory milestone data
- Delivery of accurate costs within Hellogic thus alleviating potential revenue variances
- Raising sales invoices accurately within agreed KPI timescales where required
- Collect monies from relevant parties where required
- Raise payment requests to relevant parties where required
- Liaise with product support team to provide Sea Freight quotes
- Query of vendor invoices where required
About You:
The ideal candidate will be educated in Maths and English (oral and written) to GCSE, Standard Grade or equivalent; grade A-C and be able to demonstrate a high level of competent computer skills in all areas of Microsoft office 365
- Have substantial experience in a freight forwarding operation at supervisory level within logistics in Ireland
- Proven ability to lead and manage a team
- Able to demonstrate a high level of customer service and interpersonal skills across a wide range of stakeholders both internally and externally
- Proven ability to work under pressure within agreed time constraints
- Flexible team player
- Dangerous good trained is desirable
- Good distribution practice basic training is desirable
- Pharma shipment knowledge is desirable
Salary is within the range between €60-€65,000 dependent upon qualifications.
