Job Details
The Dublin Dental University Hospital is seeking to recruit a Full-Time Library Assistant / Clerical Officer to join our Library team on 12 month specified purpose contract. DDUH Library provides services to support all DDUH activities for undergraduates and postgraduates students and members of staff. The overall purpose is to assist the Librarian in the provision of excellent services in line with DDUH values.

The position reports to and is accountable to the Librarian or any other authorised designated officer that the responsibility is delegated to by the Librarian. This post is aligned with the Grade III Clerical Officer HSE salary scales which starts at €26, 613 to max €41, 682 (15 pt. scale).

Outline of Duties and Responsibilities

The role of Library Assistant as part of a small Library Team (3 staff members) is to support DDUH Library users during academic terms and throughout the calendar year.

An interest in DDUH library users, their needs and the ability to work with users at all levels
Initiative and enthusiasm, including a willingness to contribute ideas to all aspects of library work
Ability and willingness to learn new skills in a constantly changing environment
Research, analytical skills, good communication, detailed orientated and proficient with systems

Key tasks

The role of the Library Assistant includes but is not limited to:

Answer queries from students and staff in an approachable, friendly and timely manner, in person and via e-mail
Operate the library IT system (Liberty) including loans, returns, renewals and reservations
Assist library users in finding resources in all formats
Help students and staff with computer-related and printing issues
Sending of journal alert e-mails
Creating and managing new DDUH Research publications records (Endnote & Liberty)
Shelving, repairing and sorting of library material
Assist with collection maintenance
Assist with document delivery services
Supervise user activities in the library
Communicate with the library team about all issues arising
Ensure all Dublin Dental University Hospital policies are adhered to
Assist with the development of the library’s services
Perform ad hoc office tasks and assist with projects as required
Attend all staff training and meetings as required
Perform such other duties appropriate to the office as may be assigned to him/her by the Librarian

Qualifications, Experience & Person Specification

In order to be considered for this position, candidates must have:

Achieved a good standard of education, and ideally possess at a minimum a third level degree qualification
Intermediate to Advanced IT skills, including MS Office (Outlook, Word, Excel & PowerPoint) and the internet
Demonstrate an interest in a career in Library and Information Services
Ability and willingness to learn new skills
Experience of working in a front-line customer service role and demonstrate excellent customer service skills
Excellent organisational skills
Accuracy and attention to detail in their work
Ability to effectively deal with multiple tasks simultaneously and to manage deadlines
Excellent interpersonal and communication skills, both written and oral
High levels of motivation, proactivity, adaptability and flexibility
Ability to work on own initiative and to work well in a team

It is desirable that candidates will also have:
Relevant experience of working in a health sciences or academic library or information environment within the last 2 years
A working knowledge of library services and resources

Working Hours

35 hours per week. Working hours will vary and depend on library opening hours. Regular evening working applies.

Sample week:
Monday – Tuesday 13.00 – 21.00

Wednesday – Friday 08.45 – 16.45

Note: Hours are subject to change depending on Library opening hours and some flexibility regarding days and hours of attendance will be required for the service users during academic terms.
