Position Summary:
The Compliance Coordinator will work as part of the Property Services Team on compliance related matters relating to cyclical and planned maintenance, property acquisitions, housing matters and responsive repairs. The Property Services Department is responsible for the maintenance and upkeep of Tuath’s housing stock along with assisting our Development colleagues in the delivery of new properties. The role involves dealing with all aspects of compliance within the Property Services Department along with support to other internal departments and regional offices. The post requires excellent planning and organisational skills, administration skills, a dedication to detail and a willingness to adapt to ever changing conditions and pressures.
The successful candidate will:
- Manage the data collation process, especially in relation to the regulatory compliance requirements, LA letters, Damp Mould & Condensation analysis, internal environmental sensors analysis. Ensure that Property Services colleagues deliver the data on the elements that they are responsible for in adequate time for the data to be updated by Data Analyst colleagues and presented in the regular Compliance Dashboard reports.
- Review, analyse, query, report and monitor and provide feedback on contractor performance to ensure targets are achieved and highlight to and query with Tuath Property Services colleagues in relation to the data provided for the elements that are responsible for, in terms of service provider performance and trends.
- Support the Property Services Team in the management of effective, efficient, and compliant cyclical and planned works. Work closely with other members of the Asset Team, especially Data Analyst, and wider Property Services Team.
- Compile monthly regulatory reports on areas such as servicing of Heating Systems, Life Safety Systems, Energy Improvement Programmes and other relevant programmes.
- Record monthly spending on cyclical maintenance contracts and the management and administration of payments to contractors and provide reports to Property Services colleagues.
- Receipt, collation, review, management, and distribution of data in relation to internal environmental sensors within dwellings, including full engagement with the company providing the sensors and data.
- Attend contractor or other stakeholder meetings, taking minutes, and keeping notes.
- Input data on Tuath’s IT systems and Support Services such as new property information/certificates, heating certificates, electrical certificates and BER certification.
- Support the organisation on property acquisition requirements, ensuring compliance with relevant statutory requirements, codes of practice, legal requirements etc. including liaison with Local Authorities, Statutory Agencies, Financial Agencies and other stakeholders as required.
- Assist the Property Services team in maintaining information and records and preparing reports for relevant stakeholders.
- Using management systems to maintain and update internal databases and websites.
Requirements:
- Excellent skills in Microsoft Office suite.
- Certificate or Diploma and/or minimum of one years’ experience
- Experience of non-profit organisations
- Experience of communicating with contractors and following up on repairs and invoices
- Experience of property management or housing association procedures.
- Knowledge of and familiarly with systems with homes, apartment blocks are housing schemes.
- Ability to analyse technical systems service and maintenance data, query any results, spot trends and feedback to colleagues and provide narrative content to compliance dashboards.
- Good understanding of MS Office.
- Experience of working with the public in a customer-oriented environment.
- Knowledge of GDPR and Health & Safety requirements.
- Excellent communication, interpersonal and relationship-building skills.
- Ability to work effectively as part of a team and independently.
- Good organisational and time-management skills.
- To participate on forums/working groups/committees as required.
