Strategic Project Assistant

Primary Job Function

Administrative support to Sr Dr. Project & Portfolio Management (& team) and Sr Dr. Regulatory Affairs (& team), as well as project management support related to key PPM and RA initiatives and processes, including collation and consolidation of project data, support for project leads, eg. for project-related tasks like project/budget planning, action follow-up, responsibility for subprojects, etc.

Output

  • Administrative output:

Internal and external correspondence, archiving, mailings, acting as communication interface, administration of travel management, expenses, con tracts, etc.

  • Project management output:

Overviews, updates and reports related to assigned tasks including progress, milestones, costs, deliverables, agenda, minutes, presentations

Core Job Responsibilities

Administrative Support

  • Support of the assigned teams in all organizational and administrative functions
  • General office administration (business schedule, travel management, expenses, meetings, events, budget, contracts (SAP), etc.)

Regulatory Affairs Support

  • Supports the Head of Regulatory Affairs in creating PP and structured analysis / reports
  • Creates structured overviews (excel, powerpoint) for assigned projects, including data quality checks

Project/Portfolio management support

  • Portfolio Management:
  • Works with Head of PPM / Portfolio Manager to collate and consolidate data across projects
  • Ensures that input from functions has been adequately incorporated to develop, implement and follow up on the governance process
  • Project coordination support:
  • Supports Project Leads and interacts with project team members for project planning and budgeting (E2E system), resource planning, project overviews (excel, powerpoint) for assigned projects, agenda, minutes, including data quality checks
  • Tracks KPIs, goals and actions with project leads and team members o Regularly collects / monitors/ validates progress and performance information from teams
  • Is a guardian of quality and consistency within and across projects and ensures that available standards are used for presentations, regular reports and assessments

Position Accountability/Scope

  • Administrative support of a team of about 15 members
  • Coordination of assigned PPM or RA initiatives
  • Support of project leads for 1-3 specifically assigned projects
  • Exercises judgment within broadly defined practices and policies in selecting methods and techniques for obtaining solutions
  • Works on problems with diverse scope in which analysis and interpretation of data requires evaluation of multiple factors

Minimum Education

  • Advanced education, eg. bachelor’s degree in business administration or engineering (or equivalent)

Minimum Experience/Training Required

  • Basic knowledge of multidisciplinary management and operations, and demonstrated experience of 2-5 years in dynamic business environment
  • Basic knowledge of project management practices, finance and budgeting
  • Excellent interpersonal skills and team player, including negotiation and influencing skills
  • Highly motivated, self starter and fast learner who follows up proactively
  • Strong sense of responsibility drive to deliver
  • Advanced knowledge in Microsoft office applications (excel, powerpoint)
  • Demonstrated abilities in communicating/presenting to teams and management
  • Independent working style, resourceful, well organized and committed
  • Ability to adapt to various contacts and different situations (multicultural environment, internal/external partners, matrix organization)
  • Service oriented, high flexibility, endurance and innovative spirit
