The Position
The HR Administrator / HR Service Partner is part of the EMEA HR Operations & Payroll team, based in Dublin. The EMEA team consists of HR Service Partners and Payroll partners, present in 9 countries and delivering support for 18 countries. The HR Service Partner will undertake administration, provide support and guidance to the employees on the full breadth of our Human Resource services. All activities will be conducted subject to the various laws, regulations and regulatory licenses.
Your Responsibilities
- Accurately process all employee-related administration in respect of the employee lifecycle in accordance with required deadlines, which will include onboarding administration, employment agreements, promotions, transfers, leavers documentation, etc.
- Follow up on any employee changes processed in the HRIS tool that need formal written confirmation
- Accurately prepare input for the monthly payroll, including all changes coming from local requirements
- Maintain accurate absence records both in terms of days absence, frequency, benefit deductions and filing of medical certificates and remittances
- Ensure all HR filing is maintained accurately and in a timely manner, respecting the timelines for retention and arranging destruction after 7 years
- Maintain the highest standard of confidentiality and security in terms of employee data and business information at all times
- Work as part of the wider HR team ensuring that all procedures are followed accurately, allowing for continuity of service during busy periods or times of absence
- Action any compliance review points in a timely manner
- Proactively maintain personal and professional development in order to meet the changing demands of the role
- Oversee and support all new starter onboarding processes and administration
- Primary responsibility for overseeing pre-employment screening of new joiners and employees who are promoted throughout the year. To include review of any items that are flagged through the screening process, notifying a Senior HR Business Partner of any issues and downloading the full screening report to the employee file once complete
- Oversee the task management of leaver administration, checking data quality at all times and maintaining a good relationship with Indian colleagues
- Support with the preparation of related paperwork such as, and not limited to, employment contracts, offer letters, variation letters, flexible working requests
- Collate information and assist with preparing reports on HR-related matters for delivery to the HR Senior Management Team
- Provide responsive and face-to-face contact and support to the business
Your Profile
- Previous experience working within an HR Operations team
- Sound understanding of employment law in the region
- Excellent attention to detail and accuracy
- Effective time management skills with the ability to work to tight deadlines
- Excellent communication skills, both verbal and written
- Capable of working effectively independently as well as collaborating with your peers
- Sound educational background with a willingness to develop skills (Companies E-learning modules)
- Experience with Oracle and sound knowledge of Excel
- Maintain the highest standard of confidentiality and security in terms of employee data and business information
- Work as part of a team, ensuring that all procedures are followed accurately, allowing for continuity of service during busy periods or times of absence
- Flexibility and adaptability
- Be analytical in approach, with a strong sense of initiative and results-driven
