Role

The candidate will join the Chief of Staff team and will work in close cooperation with the Senior Executive Assistant. They both will report to the Chief of Staff. The ideal candidate will be responsible for providing administrative support, managing schedules, and assisting with various tasks to ensure the smooth operation of the Chief Executive Office.

Main responsibilities

  • Administrative Support: Assist with daily administrative tasks including managing calendars, scheduling meetings, and organizing travel arrangements.
  • Meeting Coordination: Organize and prepare for meetings, including gathering documents, uploading them to the dedicated IT tool and ensuring that logistics aspects such as videoconference connection, room setup and catering (if required) are duly attended to.
  • Document Management: Maintain comprehensive and accurate records, including filing and retrieving documents as needed.
  • Office Management and general services: Ensure the executive office is well-maintained and supplies are stocked. Ensure that all general services related activities for the CEO offices run smoothly.
  • Ad hoc Assistance: Support various ad hoc tasks by conducting research, compiling data, and preparing emails, memos, reports or presentations (as required)
  • Teamwork: Act as a team player ensuring that priority activities and responsibilities are carried out, including backup support and office coverage as necessary, in the absence of other team members.
  • Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.

Skills and experience

  • 1-2 years of experience in an administrative or executive assistant role.

Skills:

  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities in English and German. Any other Swiss national language would be a plus
  • Excellent computer literacy. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • Resilience and ability to work under pressure.
  • Good interpersonal skills
  • High level of Professionalism and strict confidentiality and discretion.
