About the Role
Calendar and Travel Management
Proactively manage, maintain, and organize complex executive calendars, efficiently prioritizing action items to help leaders keep organized and informed of meetings and events.
Oversee all aspects of complex travel arrangements incl. visas and fast entry programs, while ensuring compliance with travel guidelines and all regulated internal processes
Administrative Operations
Independently organize flow of work, prioritize tasks and activities and ensure that administrative functions are carried out in a timely and effective manner, exercising adaptability and flexibility in the face of changing priorities.
Prepare and process expense reports and outside services costs in compliance with company policies
Managing databases and filing systems, and general record keeping as required
Support with ad hoc projects and assignments
Communication and Relationship Management
Serve as a point of contact internally and externally, applying confidentiality and tact in all forms of communications
Establish and maintain strong professional relationships with internal and external stakeholders, including leaders, other departments and other administrative professionals, to enhance collaboration and facilitate effective communication and swift problem-solving.
Assist leaders with German language interpretation and communication, particularly for external interactions and official documents
Event Planning and Support
Offer innovative ideas to support company events and assist in their organization and delivery to strengthen culture and support business objectives.
Support coordinating multiple aspects of guest visits, such as organizing catering and local ground transportation for visitors
Team Collaboration, Support and Development
Assist in training and onboarding other administrative assistants
Provide vacation coverage for the other executive assistants when needed
About You
Education
Completion of high school or secondary education required, additional university level courses, or secretarial/business school training, commercial apprenticeship with federal degree or advanced training desirable.
Knowledge and Skills
Excellent prioritization skills
Demonstrates high level of interpersonal skills and professional acumen
Demonstrates a high level of planning and organization skills
Demonstrates excellent communication skills - fluent in English (both spoken and written); working knowledge of German an asset.
Proven ability to collaborate across multiple departments/organizations and ability to navigate in an enterprise and fast-paced environment
Manages highly confidential information using appropriate discretion
Interacts and coordinates effectively and professionally with senior leaders inside and outside of the company as well as all other internal and external visitors
Demonstrates ability to manage change, and adapt work style and processes according to the dynamic nature of the organization
Understanding of cultural differences
Manages multiple tasks in an environment of tight deadlines and high-quality standards
Exhibits a high degree of autonomy and decision-making discretion
Possesses strong computer literacy and proficiency in Microsoft Office Suite, with the ability to effectively leverage technology to support executive-level tasks, and a demonstrated ability to adapt to new technologies
Team-spirited, able to collaborate with the other assistants
Previous experience working for senior executives in an international corporate environment preferred
