We focus our efforts to develop the next generation of antimicrobial and acute care products, following a targeted precision medicine approach, i.e. associated with rapid diagnostics to support product use.

With strong growth ahead, within an international environment, the company is now looking for an organized and bilingual Administrative Assistant to support the Admin/Legal/HR team, as well as the executive team.

Description:

As Administrative Assistant at AUROBAC, you will coordinate the ‘Welcome Desk’ activities of the company, support the Admin/Legal/HR team in their daily missions and provide organizational and logistical support to managers and executive team. You will report to the Office Manager and work closely with the rest of the team.

Missions:

  • Accounting/Legal/HR support

✓ Contribute to the accounting activities (inbox management to filter invoices and queries, entry of purchase invoices and transmission to managers for validation, entry of fixed assets, verification of the company’s expenses and preparation of reconciliation, etc …)

✓ Assist in registering and monitoring the company contracts database

✓ Contribute to the daily HR activities and administrative tasks

  • Organizational support for the Management and Executive team

✓ Plan and organize important meetings, including logistics if needed

✓ Monitor the general reporting meeting planner in collaboration with the CEO

✓ Organize trips and conferences travels

✓ Support the organization of company events (team building, seminars)

  • Welcome Desk management

✓ Inform, receive and accompany external visitors

✓ Receive and direct mail and parcels

✓ Manage outgoing mail as well as couriers and dispatches

✓ Complete and monitor the company contact database

✓ Purchase and monitor office supplies, small equipment and certain science-related purchases

Personal skills:

  • Fluency in French and English is a must-have
  • Proficiency in MS Office
  • Excellent written and verbal communication skills
  • Excellent time management skills and the ability to prioritize work
  • Basic understanding of accounting, legal and HR activities in a SME
  • Strong organizational skills with the ability to multi-task
  • Attention to detail and problem solving skills

Professional experience:

  • Bac +2 years in Administration/Accounting/Assistant degree
  • Proven experience of minimum 2 years as an Administrative/Accounting assistant, or Office Admin assistant
  • Used to working in an international environment.
