Job Description

Job role

  • Provides comprehensive and proactive administrative support, as outlined below, to the Madrid Underwriting and Service Centre Executive Team.
  • Demonstrates flexibility and adaptability through their work and approach.

Responsibilities

  • Dairy Management
  • Diary support to the UW and Service Centre leadership group.
  • Regularly sets up meetings.
  • Maintain control over diary.
  • Provide agendas and logistic support to Chubb visitors to the UW Centre.
  • Meetings
  • Regularly sets up meetings, conference calls and/or web-ex’s
  • Reviews diary on a regular basis to establish whether meeting rooms are required – booking / cancelling rooms as required.
  • Monitor and book meeting rooms using the on-line system and anticipate / respond to requests for catering.
  • May be responsible for taking and distributing minutes for key meetings.
  • Travel
  • Regularly organises and co-ordinates travel of the Leadership Team.
  • Responsible for considering the cost implications of travel bookings and chasing up decisions and cancellations if required. Must ensure the travel authorization is signed by the authorising manager.
  • Travel Expenses monitoring by team and person for Underwriting and Ops.
  • General Admin Tasks
  • Arrange Expenses Concur profile and corporate AMEX business cards for all new hires when required.
  • Mobile phone Invoices processing monthly.
  • Update of the Production Monitoring process as per the current timeline.
  • Manage the bi-weekly data download for the premium payment enquiry tool
  • Support the UWC UOM in the collation of Peer review data monthly.
  • Town Halls/ Visitor/ Large Scale Training Events management
  • Working with the Manoteras reception team organise meeting rooms, meeting room configuration, lunch, and dinner requests.
  • Issue invites to event attendees, chasing if invites remain in ‘none’ or ‘tentative’ status so that attendee numbers are clear well in advance of the event.
  • Keep a log of optional team building events and book as requested.
  • Organise off site events as requested by the Executive team.
  • Internal and external presentations
  • Collaborate with all functions within the Underwriting and Service Centre to make sure that a pre-agreed suite of standard presentations is always relevant and up to date.

Requirements And Skills

  • Bachelor’s degree desirable or specific management secretarial Education
  • Fluent Spanish and English
  • Good knowledge of MS Office, particularly Excel and PowerPoint)
  • Demonstrable experience working with senior management in a multinational company (Financial Services / Insurance desirable)
  • Excellent communication skills (verbally and written)
  • High level of responsibility, quiet diplomacy, discreet and used to deal with confidential matters.
  • Strong Customer oriented
  • Very strong attention to detail and highly organized person
  • Demonstrate a commitment to integrity and ethics
  • Willing to take personal accountability for actions and results, demonstrates proactivity to solve any issue
  • Promote a positive, energizing and optimistic environment
