EMBL is Europe’s life sciences laboratory – an intergovernmental organisation with more than 110 independent research groups and service teams covering the spectrum of molecular biology. It operates across six sites in Heidelberg (headquarters), Barcelona, Cambridge, Grenoble, Hamburg and Rome. Our mission is to perform basic research in molecular and cell biology; train scientists, students and visitors at all levels; offer vital services to scientists in the public and private sectors within the member states; develop new instruments and methods; and engage actively in technology transfer.

Alba Diz-Muñoz, a research group leader in the Cell Biology and Biophysics (CBB) Unit is seeking an Administrative/Budget officer to help with management of lab finances as well as general lab management and organization.

Your role

  • Support for budget tracking: you will keep an eye on the status of the budgets and alert to potential issues and risks
  • Support in grant administration, including managing timetables for grant reports and updates and alerting of imminent deadlines
  • Support with invoice processing and communication with the budgets office
  • Managing the logistics of visitors to lab, including organizing schedules, venues for talks and meetings, and travel and accommodation
  • Coordinate and support lab meetings, seminars, workshops, and other group events, including logistics, participant registration, and catering arrangements
  • Assist in onboarding new team members, including coordinating with HR, IT, and facilities to ensure a smooth transition into the group
  • Assistance to Alba Diz-Muñoz in the planning and booking of work-

You have

  • Excellent communication skills and interpersonal skills
  • Facility with written and spoken English; German language skills are not required but may be beneficial
  • Excellent organizational skills, with the ability to manage multiple tasks and prioritize effectively
  • High level of attention to detail
  • Familiarity working with Microsoft Office
  • You enjoy working in a dynamic, collaborative environment
  • The ability to work proactively, willingness and interest in learning new tasks

You might also have

  • Experience managing budgets and working with budget management software
  • Experience using Workday
  • Experience in an international working environment
